Clinical Operations Support

Position Overview:

To provide support services to Health Management Services by providing telephone first contact communications, maintaining HMS medical records and providing administrative and clerical assistance in all occupational health related functions for US Grifols based employees.

Job Responsibilities:

  • Provide administrative support for HMS for US based Grifols employees workers comp billing inquiries. May file new claims First Report of Injury Reports with carrier when instructed by Occupational Health Nurses.

  • Maintain Handicap Parking Program through spreadsheets and supplies such as tags and coordinate nurse contact for ADA evaluations.

  • Will coordinate post exposure referrals of plasma center and manufacturing employees in compliance with CFR1910.1030 and CDC regulations. Will communicate follow up needs to management and will monitor compliance of scheduled post exposure follow-ups.

  • Medical record management to include scanning documents into medical record, forwarding medical record to the case manager handling the employee health event and retrieving labs from third party lab vendors. Will work closely with business units to assure that all medically related documents are forwarded for processing.

  • Regularly communicate with MD offices to assure that billing information is provided. Will assure that all needed return to work notes and medical documentation is received in a timely manner.

  • To provide HMS operations support through clinic appointment scheduling, , office supply management, answering phones, scheduling appointments for HMS sponsored events and assisting with scheduled events such as health screenings and health fairs, and providing medical surveillance forms to employees for completion prior to program testing.

  • Responsible for coordinating the scheduling of Pre-Employment physicals with candidates. Will work closely with vendors providing physical exam to make sure that medical forms are returned in a time efficient manner. Will troubleshoot delays when receiving forms from provider.

  • Provide assistance with computer ergonomic assessments when needed. Assist with identifying and authorizing supplies after the assessment has been completed.

  • Assists with Flu Shot Program administrative paperwork. Scans department paperwork as determined.

Position Requirements:

  • High School Diploma or GED required.

  • User knowledge of Electronic medical records, such as OHM, preferred.

  • Must have proficient computer applications such as word, excel, PowerPoint, outlook and SAP applications.

  • Must be proactive, results oriented, and have strong attention to detail.

  • Self-starter with good work ethic and ability to work independently with minimum supervision and use good judgment, or as a contributing member of a team.

  • Ability to effectively prioritize and manage multiple tasks to meet targeted deadlines in a fast paced critical work environment.

  • Strong interpersonal skills with the ability to interact with personnel at all levels in a team environment.

  • Excellent verbal and written communication skills.
