Center Manager

Overall responsibility for Plasma Center operations, staffing, budget, meeting targeted goals, and adherence to Standard Operating Procedures (SOPs) adherence to various regulatory agencies (including but not limited to, PPTA, GHA, and FDA regulations. Operational responsibility is day-today in terms of reviewing procedures, compliance issues, level of staffing, and employee issues and concerns. It is also longer term in that the Manager has annual business plan responsibility, and needs to develop and implement the proper controls, plans, and marketing approaches in order to meet or exceed the business plan. Must represent the Center in the business and neighborhood community, and attend to all public relations issues.

  • Manage and monitor Center expenses and budget by formulating operational cost saving and recruitment plans to meet expected goals. Review and analyze financials data to address and resolve cost control and operating issues.

  • Oversee center staffing and monitor labor cost with minimal overtime. Formulate effective recruitment strategies for selecting the best talent. Apply good human resource management techniques in managing the Centers, with effective interviewing, counseling, discipline, and motivational techniques for employees including required documentation.

  • Develop plans to achieve Center objectives and utilize applicable resources to measure effectiveness of plans. Utilize operating performance measures for center improvement. Utilize available technology to access information beyond what is required and create new reports to help run the business more effectively.

  • Develop and maintain key business relationships to improve Center Operations and image within the business community. This can involve special mailings, involvement in community organizations and events, chamber functions, advertising, and the development of unique and effective approaches to promote he Plasma center to maximize donor recruitment and retention.

  • Maintain and promote Company image and ideals within the local community, and on social media.

  • Communicate with staff customers and Corporate Office, verbally and in writing, regarding policies, regulations and programs.

  • Communicate with the Senior Training Coordinator to ensure staff is properly trained in accordance with the SOP.

  • Monitor and oversee all functions, working with the Quality Dept to assure compliance to regulations. Make certain quality control systems are operative on a daily basis. Responsible for initiation of and on time closure of Deviations. Maintain all reports and records required for Center analysis.

  • Works closely with Quality Assurance Specialists to ensure compliance to all Standard Operating Procedures.

  • Develops a culture of Quality within the staff. Participates Weekly in Compliance Meetings with Quality Assurance Specialists.

  • Utilize applicable computer systems for donor and plasma unit management and sample processing systems e.g. rapid entry, packing lists, labeling, sample mailings, plasma shipments, UTRFL’s and management of Unsuitable Units, Re-classing Donors and Units.

  • Must maintain the security of pre-paid cards and payment roles per Center protocol, i.e. pay donor. Review donor record files for accuracy and completeness, e.g. donor record file, applicable DMS/Next Gen forms (registration, pay donor, complete worksheet etc.) Utilize Management checklist and other tools to manage your day.

  • Responsible to oversee the control of all center documentation/files to an outside storage facility as necessary.

  • Regularly participates in, and hosts, Audits and Inspections by Customers and Regulatory Agencies. Preparation for audits and inspections prior to the scheduled date(s) may include items such as: Center cleaning, staff training, preparation of documents, assisting Quality Assurance Specialist. Audits and Inspections may be conducted over several consecutive days.

  • Responsible for maintenance of the facility, assets and equipment. Order supplies used in all areas of the center. Proficient with SAP to order and post goods receipt.

  • Arrange staff meetings at least monthly and as needed to inform employees of Center status and implementation of new programs, policies and procedures.

  • Apply sound business practices in the areas of marketing, operations management, human resource management, and organizational development. Provide guidance to subordinates and construct developmental plans for their growth.

  • Communicate concerns and ideas to Corporate Office to improve policies and procedures

  • Responsible for identifying, mentoring, training, and developing center staff for potential BPC job opportunities . Mentor current employees to ensure success in current positions.

  • Responsible for overseeing and controlling all aspects of social media. Monitor and respond to Social Media activities including Facebook and Twitter. Maintain and update internet ads as needed, i.e. Craigslist.

  • Work closely with the Donor Services Representative on all center promotions, community events, and employee relations (incentives).

  • Implement special incentive bonus promotions for donors participating on various Immunization Programs to improve donor retention.

Education Requirements:

Bachelor’s degree in sciences, health administration, or business management preferred. Extensive experience in healthcare of plasma related field can offset degree requirement. Masters degree in sciences, health administration of business management is desirable.

Experience Requirements : A minimum of 5 years plasma center management experience. Without plasma center

management experience, a minimum of 8 years of comparable management experience. Understanding of BPC, Inc. operations and Specialty products preferred. Thorough knowledge of industry regulations (i.e. SOP, OSHA, cGMP, CLIA) essential.

Other Essential Knowledge : Must be able to lead in a versatile, high stress, high visibility and regulated environment. Must be able to implement budget plans, evaluate financial data and prepare implementation plans based on this evaluation. Able to evaluate and interpret regulations and recognize the need for appropriate changes relative to training and procedures. Must have excellent writing and oral skills. Must be able to prepare, deliver presentations and facilitate for small and large groups. Must be able to read, understand, and implement programs based on technical regulations and manuals. Must have a strong customer service orientation and able to work well under pressure while interfacing with all levels of decision-makers including, customers, distributors, consultants, agencies and suppliers. Proven ability to motivate employees at all levels within an organization. Strong grasp of employee relation issues and human resource related laws and programs

Contacts: Internal: Extensive contact with Materials Management, Human Resources, Regulatory, Quality, R&D, Finance, Manufacturing, EHS and other Corporate departments. Member of cross –functional teams. Works with senior management and all levels of decision-makers. External: Extensive and continuous contact with customers and outside agencies including FDA and European authorities, vendors and community representatives. Will give and receive information, and occasionally make presentations or explain services.

Direct Work of Others : Overall responsibility for Plasma Center Staff. Responsible for all aspects of employment

relationship for direct reports and ultimately responsible for all aspects of employment relationship for indirect reports.

Decision Making : Under administrative direction. Duties are performed within broad parameters of regulatory and operationally controlled environment. End results determine how effective job performance has been. Frequently makes decisions which are restricted only by organization wide policies or by interpreting those policies. Receives little direct guidance from supervisor.

Challenges: Meeting forecasted production and budget goals. Regulatory compliance. Responsibility for the health and safety of employee and donors. Employee relation issues. Completing projects with short deadlines. Frequent distractions, interruptions and lack of control over resources. Multiple priorities. Must rely on other departments for approval and completion of documentation and projects

Working Conditions: Physical: Approximately 40% (70%) of time is spent working in and walking through the Plasma Center, observing and assisting. 50% (30%) of time is spent sitting at desk performing office functions, reading, or using telephone. Remainder of time is spent working at the Center, which might include lifting boxes of 30 lbs or more, , carrying instruments, pulling, pushing furniture or supplies. Must be able to see and speak with customers and Center employees. Hazards: Overnight travel required up to approximately 10 days per year. May frequently have to work before or after normal work hours for staff meetings, regional meetings, inventory, review procedures, emergencies and other such work. This will vary by Center up to approximately 24 such occasions a year. Some exposure to sudden temperature change in working with freezers. Exposed to human source products and chemicals (isopropyl, , iodine, bleach, germicide solution, dry ice, etc.). Stressors: Frequent interruptions from employees, customers and telephones, working with regulatory agencies, customers who may become agitated. Dealing with staff issues and concerns. Overall responsibility for assuring the safety of the donor, employee and the product.
